Complaints Procedure

HOW TO RAISE A CONCERN OR MAKE A COMPLAINT

At Morton Occupational Therapy, I aim to provide a high-quality, supportive service at all times. If you ever have a concern, question, or complaint, I want to hear from you – it helps me to learn and to improve my practice.

Step 1 – Talk to Me First

  • Most concerns can be sorted quickly and informally.
  • If something is not working as you had hoped, please let me know as soon as possible
    – either during a session, by email, or by phone.
  • I will listen carefully, take your feedback seriously, and do my best to put things right.

Step 2 – Making a Formal Complaint

If you prefer to make a formal complaint, or if we can’t resolve things informally, you can contact me in writing at:

Confidentiality and Fairness

Raising a concern will never affect your care or your relationship with the service. All complaints are handled sensitively, kept confidential, and used as opportunities to learn and improve.

Infection Prevention & Control Statement

Your Safety is My Priority

At Morton Occupational Therapy, I am committed to maintaining the highest standards of infection prevention and control (IPC) to protect the health and wellbeing of all my clients and myself. I apply these standards across all in-person appointments.

What I Do to Keep You Safe

Hand Hygiene

I follow hand hygiene protocols i.e. washing my hands or using alcohol-based hand sanitiser before and after every in-person appointment.

Environment and Equipment Safety

  • Where possible, shared resources (such as pens, clipboards, sensory items) are disinfected between each appointment.
  • Resources are transported and stored in clean containers.
  • I ensure therapy spaces are clean and well-ventilated, with access to hand-washing facilities.
  • I ensure tissues and hand sanitiser are readily available.

Professional Standards & Health Monitoring

  • I monitor my own health carefully and will not attend in-person appointments if I am unwell with any infectious illness.
  • I follow strict exclusion periods (such as 48 hours after diarrhoea or vomiting) to protect you.
  • I maintain up-to-date vaccinations, including annual flu and COVID-19 vaccination, as appropriate.
  • I adhere to Royal College of Occupational Therapists (RCOT) and Health and Care Professions Council (HCPC) professional standards.

What I Ask of You

To help keep the risk of infection low at in-person appointments, please:

  • reschedule your appointment, or change it to online, if you have symptoms such as fever, cough, diarrhoea, or vomiting
  • let me know in advance if you or anyone in your household is unwell with an infectious illness

Current Respiratory Infection Guidance

I stay up to date with current guidance on COVID-19 and other respiratory infections. Depending on current circumstances and your individual situation, I may:

  • Wear a face mask during in-person visits.
  • Sometimes only offer online appointments.

If You Have Concerns

Please let me know if you have any specific concerns or vulnerabilities and we can discuss how I can best accommodate them.

If you have any questions or concerns about infection control during your appointments, please do not hesitate to discuss them with me. Your safety and comfort are paramount.

Refund Policy

I understand that life can be unpredictable. While my sessions are non-refundable by default, I do offer refunds under special circumstances.

Sessions cancelled by Morton Occupational Therapy

In these cases, a full refund or credit (to be mutually agreed) will be offered.

When Refunds May Be Considered

Refunds may be granted at my discretion in cases such as:

  • Medical emergencies or sudden illness
  • Bereavement or significant personal disruption
  • Technical issues that prevent access to a booked online session
  • Service interruptions (e.g. cancellation without notice)

If you believe your situation qualifies, please contact me within 3 days of your scheduled session at hello@mortonot.co.uk. I’ll review your request with care and respond within 5 working days.

Refund Amounts

Refunds are assessed individually and may be:

  • Full if the session was missed due to my error or cancellation
  • Partial if the session was missed due to circumstances outside my control
  • Credit-based (e.g. rescheduling or applying payment to a future session)

I aim to be fair and compassionate, while also protecting the sustainability of my small business.

How Refunds Are Processed

Approved refunds will be issued to your original payment method within 10 working days. You will receive a confirmation email once processed.

Safeguarding Statement

My Commitment to Safeguarding

At Morton Occupational Therapy, I am committed to safeguarding and promoting the welfare of all clients, including adults at risk and children. I recognise that safeguarding is everyone’s responsibility, and I take this duty seriously in all aspects of my practice.

I work in accordance with relevant Scottish legislation, including the Adult Support and Protection (Scotland) Act 2007 and the Children and Young People (Scotland) Act 2014, as well as professional standards set by the Royal College of Occupational Therapists (RCOT) and the Health and Care Professions Council (HCPC).

What This Means for You

  • I maintain current Protecting Vulnerable Groups (PVG) Scheme membership for work-ing with both adults and children
  • I complete regular safeguarding training to ensure I can recognise and respond to con-cerns appropriately
  • I work collaboratively with other professionals and agencies to protect vulnerable in-dividuals
  • I maintain strict confidentiality, but will share information when necessary to keep someone safe from harm

      When you leave a comment on the Site, I collect the data shown in the comments form, as well as your IP address and browser user agent string to help with spam detection.​

      If you use an email address associated with a Gravatar account, an anonymised string (a hash) created from your email address may be sent to the Gravatar service to check if you have a profile there.​​

      If Gravatar recognises your profile, your Gravatar image may be displayed publicly next to your approved comment on my Site.​​

    • Login and site management
      If you visit a login page, I set a temporary cookie to determine if your browser accepts cookies; this cookie does not contain personal data and is removed when you close your browser.​

      When you log in, I set cookies to save your login information and your screen display choices. Login cookies typically last for two days, and screen options cookies for one year.       I use the Contact Form 7 plugin to manage contact form submissions.​ Form information is sent to me by email and may also be stored on my hosting server for backup and record‑keeping.
